1. General information

The deadline for submission of accepted presentations in virtual format is July 29, 2021 at 23:59 hours.

All accepted presesntations will be included in the virtual platform of the Congress and will be organized by thematic areas. They can be viewed and consulted by registered participants (private access with user and password) from October 7 to December 31, 2021.

In all cases, the contact details (email and telephone number) of the authors who will participate in the exhibition and/ or virtual presentation, on a slide at the end of each work, should be included to facilitate the discussion of the same, consultation or for any technical reason.

In general, virtual presentations should be submitted as follows:

Oral Communications

Authors must record their Oral Communication in .mp4 video format with a maximum duration of 5 minutes.

Communications Video

The duration of the submitted video must not exceed 5 minutes.

e-Poster Communications

The submission must consist of:

  • 1-page poster in .png format with horizontal orientation, proportions 16:9 (so that it is displayed correctly on a computer without having to enlarge).
  • Defense recording of the e-Poster in audio or .mp4 video format of a maximum duration of 2 minutes.

Instructional Courses

The author or authors of the Instruction Course must record their exhibition/presentation in .mp4 format with a maximum duration of 45 minutes.

Research Forum

Accepted and selected virtual presentations that opt for the Research Forum will be sent recording before July 29, 2021 at 23:59 hours with a maximum duration of 5 minutes.

These recordings will be reproduced at the schedule assigned to the Research Forum Session within the scientific program and the authors must be connected via streaming in order to answer the questions and participate in the debate.

The author will be contacted in advance to coordinate all the technical details necessary for the organization of the session.

There will be a special award and diploma for the best of them, taking into account originality, relevance, working hypotheses and methodology.

Poster Forum

Of all posters presented to the Poster Forum will be eligible for the same the top 4 after the assessment of the Scientific Committee, and will be exhibited/presented during the Congress in oral communication format (online via streaming), in the schedule assigned for it.

The authors must send the recording of their presentation following the same rules and deadlines as oral communications.

These recordings will be reproduced at the schedule assigned to the Poster Forum session within the scientific program and the authors must be connected via streaming to answer the questions and participate in the debate. 

The authors will be contacted in advance 15 days before the Congress, to coordinate with all the technical and organizational details of the session.

 

Resignation/withdrawal of abstract

If for any reason you refuse to expose/submit your accepted virtual abstract to be part of the 72nd SEORL-CCC Virtual National Congress, you must contact the Scientific Secretariat via email congreso.cientifico@seorl.net,requesting that your abstract be withdrawn.

Maximum deadline to notify the resignation or withdrawal of your virtual abstract from Congress, will be August 1, 2021 at 23:59 hours.

From the September 7, those works whose author(s) have not submitted their presentation in virtual format, according to the regulations described in this document, and have not notified their withdrawal by email, will be automatically removed from the virtual platform and the abstract book of the 72nd National Congress of the SEORL-CCC.

2. Specific rules for each type of virtual presentation

Oral Communications

You will need to make a recording of your exhibition/presentation. To do this, you can use a Zoom platform (where you can combine the view of a .ppt or .pptx presentation with a video) or use program recording features such as Microsoft Office PowerPoint or Keynote (where you can record audio as you pass the slides), depending on your preference.

Format of recordings

Recording must be configured for 16:9 format. The file being sent must have an .mp4 extension

Name of recording file

Name the file using the presentation type code (CO for Oral Communications), followed by the ID in the confirmation email. Example: CO-0025.mp4

Duration and maximum recording size

The maximum duration of the defense will be 5 minutes

Video COMMUNICATIONS

Videos may be commented or sounded with written text.

Format of recordings

Recording must be configured for 16:9 format. The file being sent must have an .mp4 extension

Name of recording file

Name your file using the presentation type code (CV for Video Communications), followed by the ID in the confirmation email. Example: CV-0026.mp4

Duration and maximum recording size

The maximum duration of the defense will be 5 minutes

E-Poster Communications

Preparing the e-Poster

Electronic posters, as well as recording with the defense of them (2 minutes maximum defense), will be available throughout the Congress in the section dedicated to e-Posters.

E-Poster Format

To make your electronic poster you can use, to orient yourself, the congress template adjusting to the proportions and orientation of it for a correct display on a computer screen (16:9).

The poster will have a maximum of 1 page and will not include effects or animations with Microsoft Office PowerPoint.

Once your poster is complete you must export the file to .png format. No other format will be supported.

File name

Name your file using the code for the presentation type (CP for e-Poster Communication), followed by the ID in the confirmation email. Example: CP-0027.jpg

Maximum file size

The maximum size of the e-Poster .png file will be 4 Mb.

Recording the defense of the e-Poster

Format of recordings

Recording for e-Poster defense must be configured for 16:9 format. The file being sent must have the extension .mp4

Name of recording file

Name your file using the code for the presentation type (CP for e-Poster Communication), followed by the ID in the confirmation email. Example: CP-0027.mp4

Duration and maximum recording size

The maximum duration of the defense will be 2 minutes

You can record using a Zoom platform (where you can combine the view with a presentation (.ppt or .pptx), or the e-Poster with your video), the recording functions of programs such as Microsoft Office PowerPoint or Keynote (where you can record an explanatory audio as you pass the slides or view your e-Poster), according to your preference.

Instructional Courses

You will need to make a recording of your instructional course exposure/presentation. To do this, you can use a Zoom platform (where you can combine the view of a .ppt or .pptx presentation with a video) or use program recording features such as Microsoft Office PowerPoint or Keynote (where you can record audio as you pass the slides), depending on your preference.

Format of recordings

Recording must be configured for 16:9 format. The file being sent must have an .mp4 extension

Name of recording file

Name the file using the code for the presentation type (Instruction Course CI), followed by the ID in the confirmation email. Example: CI-0156.mp4

Duration and maximum recording size

Maximum duration of 45 minutes

Research Forum

You will need to make a recording of your exhibition/presentation. To do this, you can use a Zoom platform (where you can combine the view of a .ppt or .pptx presentation with a video) or use program recording features such as Microsoft Office PowerPoint or Keynote (where you can record audio as you pass the slides), depending on your preference.

3. Statement of Conflicts of Interest

The first slide of the exhibition/presentation of any work shall include the declaration of potential conflict of interest following the attached model.

4. Recording rights assignment contract

The recording must necessarily be accompanied by the Recording Rights Assignment Agreement signed by the author responsible for the presentation. This file will be named following the guidelines of the recordings files with the file type code (CG for Recording Assignment), followed by the ID of the presentation that appears in the confirmation email. Example: CG-0025.pdf

5. Submission method

The recording (and where appropriate the .png file of the e-Poster), together with the contract for the transfer of rights, must be sent to the Scientific Secretariat of the SEORL-CCC, using the Wetransfer platform. To do this, you must upload the files (.mp4, .png) to this platform, then create a link to it and finally send that link by email to congresovirtual@seorl.net.

And remember…

  • The author(s) involved in the exhibition/presentation of any virtual work, must be members of the SEORL-CCC and be registered to the 72 National Virtual Congress of the SEORL-CCC. You can formalize your registration by clicking here.
  • If for any reason you want to waive such exposure/presentation and want your accepted virtual work to be removed from Congress, please contact congreso.cientifico@seorl.net by August 1, 2021 at 23:59.
  • By submitting the recording, you grant the SEORL-CCC the right to publish on its virtual platform of the 72 National Congress the work submitted in virtual format, which will be available online for consultation of all registered congressmen from October 7 to 31, 2021.
  • Sending the presentation in virtual format implies acceptance of such publication without the need for further authorization, so the author or authors assign their intellectual property rights to the SEORL-CCC.
